Record notes of discussion of the Annual General Meeting held on 21.02.10 near RWA office

AGM could not be started at 10 AM scheduled due to inadequate quorum and meeting was started at 11 AM. The following agenda points were discussed and resolution adopted are indicated each point.
1) A brief of development works under taken during current tenure:- Shri Mukesh Gupta, Secretary RWA presented a list of development works done during current tenure before AGM members.

2) Submission of Annual Accounts of the current year:- Shri Digvijay Pratap, President, RWA presented a un-audited balance sheet of FY 2009-10 before AGM members.

3) Election of Returning Officer/Asstt. Returning Officer:- Shri Digvijay Pratap requested the AGM members for election of the RO and ARO for conducting free and fair election for ensuing RWA body. Shri Surjit Singh, Flat No.270 proposed the name of Shri S.N.Singh, Flat No.529 for the post of RO and his name was seconded by Shri Vidya Bhusan, Flat No.168. Shri Rakesh Chandra, Flat No.415 proposed the name of Shri Viplav Saxena, Flat No.312.The name of Dr.Y.S. Ahlawat, Flat No.178 was proposed by Prof. G.K.Mehta, Flat No.233 and seconded by Shri R.S.Pal Flat No.179. After discussion it was decided unanimously to appoint Dr.Y.S.Ahlawat Flat No.178 as RO and Shri S.N. Singh, Flat No.529 as ARO.

AGM also decided cut of date as 31.03.2010 for submission of annual subscription and 11.4.10 as date of election for holding election for ensuing RWA. Those residents who have not submitted their annual subscription till date they may submit the same.

Election will be held as per existing by laws; one flat one vote basis and tenants shall not be allowed for contest election.

4) Various suggestions/measures/views from members:-
As a part of meeting proceedings, raising issues with the permission of chair, members presented various suggestions for the development of our colony and also for the benefit of the resident members. List is as follows.
(a) Dr. Y.S. Ahlawat raised the point why some part of the boundary wall has been left uncompleted at Amber high village side. Shri Ranjit Singh, Vice President, RWA explained the reasons to the AGM members. All the members have the view that boundary wall should be completed. Shri Digvijay Pratap conveyed to the members when boundary wall work for remaining side will be started that time uncompleted work at Amber high side will be done.

(b) Members requested that Sticker for vehicle may be issued and those who have not paid annual subscription may not be issued sticker.

(c) Some members requested to remain open only one gate for vehicle and some members oppose the suggestion.

(d) Members asked from RWA body action taken against defaulters. Shri Digvijay Pratap informed that in spite of repeated action/request defaulters are not paying the dues. Shri Digvijay Pratap suggests that services of the Kinnar may be taken for recover the dues as being done in various agencies. It was decided to issue reminder to the defaulters.

(e) Shri Ahlawat intimated to the members that one Guard Shri Iltaf has done the marvelous job by doing vigilant service and be given prize.

RWA assured members to look into the problems and taking of remedial measures. Meeting ended with vote of thanks.

List of members attended the meeting is maintained in a separate register.
